Privacy Policy
Arkolektif collects and uses personal information only as necessary to operate the archive.
What we collect from artists and contributors:
- Name, email address, location or country of residence
- Biography and artist information
- Website or social media links (optional)
- Artwork titles, year, medium, dimensions, descriptions, and documentation images
Technical information (all visitors):
Browser type, device information, anonymous analytics data, and pages visited. This data is used only to improve the website experience and monitor performance. It is not linked to personal identities.
How information is used:
- Review and process submissions
- Document and archive artworks
- Publish approved artist and artwork information
- Communicate with contributors regarding submissions
Arkolektif does not sell personal information or artwork data to third parties.
Submitted materials may be retained as part of the archive's long-term preservation process. Artists may request corrections, updates, or removal of works from public display. Requests are reviewed on a case-by-case basis. Certain archival records may be retained internally for documentation purposes.
Arkolektif uses third-party tools for website hosting, analytics, cloud storage, and form submissions. These services may process limited technical information necessary for website functionality. The website may link to external websites; Arkolektif is not responsible for their privacy practices.
Copyright & Image Use
Artists and contributors retain full copyright and ownership of their submitted works. Submission to Arkolektif does not transfer ownership of artworks, images, documentation materials, or associated intellectual property.
Use by Arkolektif:
By submitting materials, contributors grant Arkolektif permission to display artworks within the archive, preserve and store submitted materials, and use images and metadata for archival, educational, research, and non-commercial promotional purposes related to the archive. Arkolektif does not sell artworks or claim commercial ownership.
Public use of images:
Images published on arkolektif.org may not be reproduced commercially, redistributed without permission, modified or altered, used for advertising or merchandise, or re-uploaded to third-party platforms without permission. Unless otherwise specified, all images remain protected by copyright.
Attribution:
When referencing materials from Arkolektif, include the artist name, artwork title, year where available, and source attribution to Arkolektif.

For publication, exhibition, or commercial reproduction requests, contact the artist or rights holder directly. Arkolektif may assist in facilitating contact but cannot guarantee licensing rights on behalf of artists.
If you believe material on arkolektif.org infringes your copyright, contact contact@arkolektif.org with your contact information, identification of the work in question, a description of the issue, and supporting evidence where applicable.
Research & Educational Use
Arkolektif is designed as a publicly accessible cultural resource intended to support artists, researchers, students, curators, educators, and the wider public.
Permitted use:
- Reference archive entries and cite artworks or artist records
- Use low-resolution images for non-commercial educational purposes where legally permitted
- Link to archive pages for teaching and research
Proper attribution must always be provided. Researchers are encouraged to verify information independently where necessary. Some historical records may be incomplete and metadata evolves over time.
For requests related to publications, academic projects, exhibition research, or image licensing, contact contact@arkolektif.org. Arkolektif may facilitate contact with artists or rights holders but cannot guarantee permissions on their behalf.
Digital Preservation
Arkolektif is designed with long-term digital preservation in mind. The archive prioritises consistency, stability, and documentation quality over rapid expansion.
File standards:
Arkolektif prioritises preservation-friendly formats including JPG, PNG, and TIFF where available. Files may be optimised for web display while preserving higher quality archival versions where possible.
Metadata:
Structured metadata supports searchability, historical context, attribution, long-term organisation, and future portability. Standards may evolve while maintaining archival consistency.
Storage:
Arkolektif aims to maintain secure digital storage, redundant backups, organised archival structures, and controlled administrative access. Reasonable efforts are made to reduce risks associated with data corruption, hardware failure, accidental deletion, and service interruption.
The archive may periodically update metadata, improve file organisation, migrate files to updated systems, and improve accessibility practices. While reasonable efforts are made to maintain availability, uninterrupted access cannot be guaranteed at all times.
Accessibility
Arkolektif is committed to making the archive accessible to as many people as possible across different devices, technologies, and accessibility needs. Accessibility is considered an ongoing process.

- Accessible typography and colour contrast
- Structured content and headings
- Usability across desktop and mobile
- Screen reader compatibility where feasible
As a visual arts archive, imagery is central to the platform. Where possible, Arkolektif provides descriptive alternative text, contextual artwork information, and readable metadata. Some historical materials may have limitations in available descriptive information.
Arkolektif is not responsible for the accessibility practices of external websites linked from the archive. To report an accessibility barrier or suggest an improvement, contact contact@arkolektif.org.

Arkolektif is not a marketplace, commercial gallery, valuation platform, authentication authority, or legal authority regarding ownership or provenance. Inclusion within the archive does not constitute commercial endorsement, valuation, or certification.

Arkolektif and its contributors are not liable for reliance on published information, external use of archive materials, temporary service interruptions, loss resulting from use of the website, or third-party misuse of archived materials. Use of the archive is at the visitor's own discretion.
